1. Overview

Villara LLC ("we," "us," or "our") operates LetterPerfect at getletterperfect.com. This Privacy Policy explains how we collect, use, and protect information when you use our Service. We take your privacy seriously and are committed to handling your information responsibly.

The short version: We collect only what we need to provide the Service. We do not sell your personal information. We store your data securely. You can request deletion at any time.

2. Information We Collect

Information you provide:

  • Intake answers you enter to generate letters (names, dates, amounts, dispute details)
  • Email address (if you create an account or provide it for guest access)
  • Payment information (processed by Stripe — we never see your full card number)
  • Outcome reports you voluntarily submit after sending a letter

Information collected automatically:

  • IP address and general location (country/state level)
  • Browser type and device information
  • Pages visited and features used
  • Letter types generated (not the content)

3. How We Use Your Information

  • Generate letters based on your intake answers
  • Process payments and manage your account
  • Send transactional emails (receipts, account notifications)
  • Improve letter quality using anonymized, aggregate outcome data
  • Prevent fraud and abuse of the Service
  • Comply with legal obligations

We do NOT use your letter content for AI training without explicit consent. We do NOT send marketing emails without opt-in.

4. Data Storage and Security

Your data is stored on Supabase (PostgreSQL) servers hosted in the United States. We implement industry-standard security measures including:

  • Encryption in transit (TLS/HTTPS)
  • Encryption at rest
  • Row-level security policies (users can only access their own data)
  • No storage of sensitive identifiers (SSNs, full card numbers)

Guest letters are automatically deleted 90 days after creation. Account holders can delete their data at any time.

5. Third-Party Services

We use the following third-party services to operate LetterPerfect:

  • Stripe — payment processing (subject to Stripe's Privacy Policy)
  • Anthropic — AI letter generation (your intake data is sent to Anthropic's API)
  • Supabase — database and authentication
  • Vercel — hosting and deployment
  • Resend — transactional email

When you generate a letter, your intake answers are sent to Anthropic's Claude API to generate the letter content. Anthropic's data handling is governed by their Privacy Policy. Anthropic does not use API data to train their models by default.

6. Sensitive Information

Letters may contain sensitive personal information (medical details, financial amounts, employment information). We recommend:

  • Using "REDACTED" for sensitive identifiers like SSNs or policy numbers in intake fields
  • Adding sensitive identifiers manually to the final letter before sending
  • Not entering information you would not want stored on a third-party server

LetterPerfect is not HIPAA-compliant. Do not use this Service for official HIPAA-regulated communications requiring BAA coverage.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your account and associated data
  • Export your letter history
  • Opt out of non-essential communications

8. Cookies

We use minimal cookies necessary for authentication and session management. We do not use third-party advertising cookies. You can disable cookies in your browser settings, but this may affect Service functionality.

9. Children's Privacy

LetterPerfect is not intended for users under 18 years of age. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes via email or prominent notice on the Service. Continued use of the Service after changes constitutes acceptance of the updated Policy.
